Rules and Regulations for Exhibitors

Contract For Space
This application is for space and formal notice of assignment by Hearing
Loss Association of America. Full payment of rental charges constitutes a contract for the right to use the spaces.

Exhibitor Move-In and Move-Out
Move-in is on Wednesday, June 11, 2008 from 8:00 am to 6:00 pm. Any
unattended booths with crated displays will be set up at the discretion of
HLAA and all applicable service charges will be charged to the exhibitor.
Third-party drayage and decorator services used by exhibitors must heed
to the rules and regulations set forth by the Hotel and/or Freeman/Total
Show. Exhibitors expressly agree not to dismantle their Exhibit or begin
packing before 5 pm on Saturday June 14, 2008 and all equipment must
be clear of the Hall no later than 10:00 pm.

Equipment and Services
The official decorating service contractor is Freeman. An exhibitor
service kit will be sent to you prior to the convention. Included in the kit
are shipping instructions and order forms for furniture, electrical services,
labor, carpeting, audio Visual and other contracted services.

Restrictions in Operations of Exhibit
Exhibitors may not alter the location of their space unless express permission is given in writing by HLAA convention management. Booth space, or any part thereof, will not be sublet without notifying and permission from HLAA. HLAA reserves the right to restrict an exhibit, which, because of noise, method of operations, material, or any reason, becomes objectionable and to prohibit or evict any exhibits, at the discretion of HLAA, that may detract from the general character of the exhibit as a whole. In the event of such a restriction or eviction, HLAA is not liable for any refunds, rental, shipping, or other exhibit expenses.

Sales in Exhibit Hall
Any company desiring to sell a product must comply with the state and
local sales permit requirements. Permit information and any forms are to
be obtained and completed by the company. Please do not contact HLAA for state/local sales regulations and information.

Security and Insurance
HLAA will provide peripheral security in the Hall Wednesday, June 11
through Saturday, June 14. HLAA, Freeman, and the Grand Sierra Resort will not take any responsibility for any additional security that is needed for the protection of exhibitors’ materials and display during the convention. Exhibitors are expected to carry all risk insurance on their exhibits, use lock boxes, and/or arrange their own security in their booths as part of their expenses for attending the convention. It is required that all exhibitors submit with this registration form a copy of their Certificate of insurance.

Smoking Policy
HLAA strictly enforces the no smoking policy while in the Exhibit Hall.

Badges/Identification
HLAA requires anyone attending the convention to wear an convention Badge. Anyone not wearing an HLAA Convention badge will not be
permitted into workshops Sessions, the Opening Reception (if not held in
the exhibit Hall area) or other non ticketed activities of the convention.

Cancellation of Convention
In the event of cancellation due to fire, strike, government relations, or other causes beyond the control of Hearing Loss Association of America. The organization will refund as large a portion of the exhibit fee as deemed consistent with the expenditures and commitments already made.

Above Regulations
The above, stated rules and regulations become a part of the contract
between the exhibitor and Hearing Loss Association of America.
Exhibitors are asked for their full cooperation in their observance of these
regulations. All points not covered here are subject to the decisions of
HLAA management.

Terms and Conditions
Signature by an authorized representative of the exhibiting company/
organization authorizes Hearing Loss Association of America to reserve
exhibit space for use by the designated company/organization during
the Hearing Loss Association Convention. By signing this contract, the
company/organization authorized representative acknowledges receipt of
and agrees to abide by the Exhibitor Rules and Regulations, as printed in
the Exhibitors Prospectus, and to all conditions under which exhibit space is leased to Hearing Loss Association. Signature also acknowledges the agreement to pay in full the booth rental fee, by credit card or check with the signed contact, Space will not be assigned without payment (no exceptions). Space will be assigned on a first-come, first-served basis, with priority given to Hearing Loss Association corporate organization members and 2008 convention sponsors.

Cancellation Policy
Exhibitors shall give written notice of cancellation by overnight or registered U.S. certified mail only. No cancellations will be accepted by phone or email. The date the written notice is received by Hearing Loss Association Exhibitor and Sponsorship Manager is considered the official cancellation date. If written notice is received 60 days before the show opening, total money less a 50% cancellation fee will be refunded to the Exhibitor. No refunds will be allowed for any cancellation less than 60 days prior to the opening of the show.

Use of Space
All exhibit demonstration and sales activity must be confined within the
perimeter of the exhibit booth space allotted to each exhibitor. Aisles
may not be used in any way that would block the flow of traffic, including
distribution of promotional materials.
